Birmingham Community Healthcare NHS Foundation Trust are one of the largest specialist providers of community health services in the NHS, delivering services to the 1.2 million residents in Birmingham as well as some services in the Black Country and the wider West Midlands from five main clinical divisions. They operate from over 300 sites across the West Midlands, providing a range of care services from new-born to elderly.

Birmingham Community Healthcare NHS Foundation Trust ,before working with InPhase, already had a robust Performance Framework in place and an equally reliable set of governance arrangements to build on. Their team values performance and they had already cultivated a culture that fostered truth, accountability and collective insight. However, they were previously using a performance management system that hindered their ability to do dynamic work.

Of their previous system, Sharron Westley, the Performance Support Manager, notes “before InPhase, it was very basic, the system we had. It was very limited. There was hardly any functionality. The graphs were very fixed. We weren’t able to actually do any dynamic working with it.” Their goal was to find a system that could help them maximise the use of their data, so staff at every level can see the impact that their actions had on the wider performance of the Trust.

After doing extensive research and conducting market engagement, InPhase stood out against their incumbent provider and other options available to provide them with what they were looking for. “Having looked at what was on the market, we felt that InPhase was the right tool for us. We did our research and InPhase fit the bill,” Ashley Murtagh, Director of Performance, Assurance and Contracting explained.

With InPhase, users at any staff level have access to the same data, which gets filtered by service, ward, team and individual for laser-focused understanding of the performance level. The web-based interactive system itself is incredibly intuitive, and responsive, so users can log on from any device and work easily. Users can drill down and explore that data to make more impactful decisions on what action to take.

Users get real-time reports, displayed visually and clearly for a valuable snapshot of performance at Trust and divisional level, and they can track the golden thread of cause and effect. This, combined with the system’s integration capabilities, enables users to create aligned actions so they and others can see action is taking place to improve, what that action is, the progress of it and who is responsible for it. These actions can be linked to KPIs and are managed and evidenced throughout the process for robust and reliable assurance. Making sure that what needs to get done, does. Users can also see the success of the action, what worked and what didn’t, to improve learning and future decision making.

Thanks to the clear, visual presentation of the data, and how easy the system is to use, users can thoroughly understand the current performance level of the Trust and where they, as an individual, team or service can contribute to the overall strive for improvement.

“So, the benefits of InPhase allowed us to actually take our data down into much further detail. We’re able to easily do a lot more custom building and bring together a lot of information which we previously held in our shared drives. It gives us a lot more flexibility. Also the users are able to add comments and add tasks and actions. We’re able to do so much more with this and we to grow further,” Sharron added.

Birmingham Community Healthcare NHS Foundation Trust have plans to grow use of InPhase further in the future, with expansion of Scorecards at a more granular level and using InPhase to manage their recovery plans if performance goes off track.
